Import Manager

This position will be responsible for managing all import shipments, document preparation, ISF filings for Customs, etc. The candidate will need exceptional attention to detail, customer service, strong organizational and communication skills and must be computer literate. This position will work independently in managing the day-to-day operations of the department.

CFR Classic is a leader in US imports of classic vehicles. Experience in import of vehicles is strongly desired. If no experience, we are looking for a passionate candidate for classic cars who is willing to learn and specialize in US imports of vehicles.

Duties and Responsibilities:

  • Quote import leads and overseas agents; assist the Sales department with needed import rates and technical support
  • Strong and prompt communication with customers and overseas agents; collect from clients the needed import documents (3299, Supplemental declaration, EPA, DOT, (2)POA, DGD, Authorization Form & sample forms); check for EPA exemptions for non-compliant vehicles (racing, show & personal)
  • Create the import files in CFR Classic TMS system, track shipments, arrival notices and invoice customers
  • ISF / AMS Filing
  • Resolving carrier/agent manifest errors
  • Handling exam containers (emailing/calling exam facilities, arranging pick-ups, paying invoices, expediting exams by speaking to Customs or CES managers, dispatching, checking availability)
  • Manage the Insurance process (issue insurance policy, collect necessary documents, photos, managing claims)
  • Mitigation letters to Customs for penalties
  • Monthly closing files and review of P&Ls with the manager
  • Strong desire to continuously improve the import process, communication with customers and vendors; implement policies and procedures that will make the import process more efficient and increase the customer satisfaction.

MANAGEMENT/LEADING PEOPLE RESPONSIBILITIES

  • Labor planning and recruitment to ensure adequately staffed operation in accordance with company goals

Import Specialist

Job Purpose:
This position will assist in daily management of import shipments,document preparation, ISF filings for Customs, etc. The candidate will need exceptional attention to detail, customer service, and communication skills and must be computer literate. Duties and Responsibilities:

  • AMS and ISF processes
  • Entering data into our system for documentation
    in a timely and accurate manner

  • Able to retain and apply information about CBP
    rules/regulations

Export Document Coordinator

Job Purpose:
This position will assist in daily management of import shipments,document preparation, ISF filings for Customs, etc. The candidate will need exceptional attention to detail, customer service, and communication skills and must be computer literate. This position will work under the supervision of the Import Manager in managing the day to day operations of the department.

Essential Functions about this position are, but not limited to:

Duties and Responsibilities:
• Responsible for making bookings with the carriers, accurately entering the data in LS and sending the new bookings to CFR Fremont and OEM logistics teams;
• In charge of submitting accurate and timely documentation to carriers: preliminary IMOs (where applicable), Bill of Lading instructions, Bill of Lading proofreading and request any needed BL revisions; obtaining carrier telex releases.
• In charge of confirming with carriers the sailing of containers and updating Logisuite with any changes in sailing
• Responsible for accurate data input for documentation (HBL & MBL) and accordingly revise the documents if any changes in shipping occur.
• Correct AES filing with US Customs in accordance with US Customs regulation; accordingly revise the AES records if any changes in shipping occur.
• Proof carrier BLs/ invoices for any rate errors in accordance with the SOP provided, approve carrier invoices, enter the costs in LS and email the rated BLs/ invoices to accounting for payment.
• Responsible for gathering and emailing prealert documents for the sailed containers within 2-3 days from sailing; double-check shipment documents and prealert information in order to ensure no prealert errors.
• In charge of closing the files on a monthly basis by the 7th business day of the following month according to the SOP provided.
• Responsible for gathering and providing the ocean carrier BLs requested
• Assist CFR Fremont team in addressing operational issues with the carriers (increasing or decreasing bookings, solving issues with ingating containers at the terminal, issues with hazmat approval)
• Assist in answering emails from carriers in regards to bookings
• Daily KPI reporting
• Maintain Google Spreadsheet daily
• Thoroughly follow up by email or by phone with carriers on getting issues resolved, follow up on paperwork or corrections

Job Purpose:
This position will assist the Operations Manager and Supervisor in managing the day to day operations of the department needs. The candidate will be knowledgeable of department goals, procedures, and policies. Deals with a diverse group of important external and internal callers and visitors as well at all levels of the organization. Ability to plan, prioritize and organize all the workload and ability to easily spot mistakes.

Duties and Responsibilities:
Arranging, handling and managing FCL/ RORO shipments for an assigned client base and/or 1-time clients – act as liaison between Agent, Shippers, Consignee, and Co-loaders. Must be able to coherently answer emails and interact via phone with customers and other office staff.
• Quote clients, create shipping instructions, issue insurance certificates and invoice customers/ agents
• Arranging pickup and delivery orders for FCL/ RORO cargo
• Prepare cargo and make it ready to ship (RTS) in compliance for export and internal standards (SOPs); responsible for accurate data input in Logisuite
• Carrier bookings, rail billing and HAZ declarations if needed. Good knowledge of shipper lanes and requirements at destination
• Create load plans in Logisuite and arrange drayage
• Share warehouse receipt and photos with agent and/or Customers
• Approve invoices for payment (OFR, on-carriage, towing, inland, dray, etc.)
• In charge of title ocean clearance, AES filing, Incoterms/ carnets
• In charge of preparing and sending documentation to the carriers (BL instructions, cleared titles, etc.), confirm sailing
• In charge of receiving master B/Ls from the carriers once cargo has sailed (proof read and make corrections as needed)
• Update clients, pre-alert manifest and pre-advise to agent if applicable
• Mailing original documents to designated party if applicable
• Place shipments on hold with carrier/ agent for non-payment and follow up on releases
• Responsible for file closing as well as file and customer profitability
• Keep a KPI Sheet (Key Performance Indicator)
• Other tasks as assigned
